CONSTITUTION OF THE BOUGHTON “VILLAGE CARAVAN”

1 NAME


The name of the group shall be “The Boughton Village Caravan”

2 AIMS

• Shall be the social inclusion of all members of the community.
• Provide funds for the maintenance of Boughton Village & All Saints’ Church, Boughton
• Promote community spirit within the village of Boughton

3 MEMBERSHIP

• Membership of the group shall be open to anyone who feels they can benefit from the group, and is interested in helping the group meet it’s aims and is willing to abide by the rules of the group

4 MANAGEMENT

a) The group shall be administered by a Management Committee of not less than 4 and no more than 12 members.
b) The officers of the committee shall be: the chairperson, the vice chairperson (both 6 months), the treasurer, the secretary and a publicity officer(all 1 year tenure).
c) The Management Committee shall meet at least once every three months.
d) The Chairperson or Vice Chairperson shall chair all meetings of the group.
e) The Committee shall be quorate when no less than half of the Committee are present.
f) Voting at Management Committee meetings shall be by a show of hands. If there is a tied vote, the Chairperson shall have a second vote.
g) Members of the Village present at meetings of the Committee may be entitled to vote at the discretion of the Chairperson.

5 OFFICERS

There will be a chairperson who will be responsible for chairing the meetings, a secretary who will keep minutes and be responsible for all correspondence, and a treasurer who will be responsible for keeping the accounts and making and receiving any payments on behalf of the group. There will be a vice-chairperson who will support the chairperson and fill their role in their absence. There will be a publicity officer responsible for advertising of events.

6 FINANCE

a) Any money obtained by the group will be used only for the activities organised by the group and for maintenance of Boughton Village and All Saints’ Church.
b) Any bank accounts opened for the group shall be in the name of the group.
c) Any cheques issued shall be signed by the Treasurer and one other nominated official.

7 ANNUAL GENERAL MEETING

a) The group shall hold an AGM in the month of August
b) All members shall be given at least 14 days notice of the AGM and shall be entitled to attend and vote.
c) The business of the AGM shall include:
1) Receiving a report from the Chairperson on the groups activities over the year.
2) Receiving a report from the treasurer on the finances of the group including the presentation of independently examined or audited accounts.
3) Considering any other matters as may be decided.

8 DISSOLUTION

If the Committee decides to DISSOLVE the group, this will be by majority vote at a special general meeting held with at least 21 days written notice. Any assets remaining after meeting all liabilities shall be disbursed to other charitable causes benefiting similarly affected groups (as approved by The Charity Commissioners, if applicable).

9 AMENDMENTS TO THE CONSTITUTION

This CONSTITUTION may be AMENDED by a majority AGM resolution – though Aims as per Section 2 cannot be amended without Charity Commission approval, if applicable.

10 ADOPTION

This CONSTITUTION was adopted at a meeting held on 3rd August 2006 at Hope House, The Green, Boughton, Kings Lynn
